Using the "My Jobs" View in Bay Boss

Learn how to give your techs access to jobs without all the features of Repair Orders.

The My Jobs view provides technicians with a streamlined, distraction-free workspace accessible directly within any desktop or mobile browser. It gives technicians instant visibility into their assigned tasks, lets them log time, and updates job statuses in real time—without exposing shop pricing or requiring a separate app installation.

Overview & Key Benefits

  • Built for Mobile & Shop Tablets: Fully responsive layout that operates smoothly on a smartphone or tablet browser without needing to download the dedicated mobile app.
  • Role-Safe Visibility: Technicians only see the job cards assigned to them. Pricing, margins, and customer contact details (such as phone numbers or addresses) are completely hidden.
  • Integrated Time Tracking: Start and stop live clocks directly from the bay, or manually log labor intervals after the work is completed.
  • Read-Only Scope Protection: Technicians can view job descriptions, parts lists, and previous service history while keeping core ticket details, vehicle configurations, and billing fields protected from accidental edits.

Navigating the My Jobs Board

When a user account is granted access to My Jobs, a My Jobs link appears in the main navigation sidebar.

  1. Finding Your Assigned Work
  • By default, the board filters directly to active jobs assigned to the logged-in user.
  • Search Bar: Type into the Search customer, vehicle, or job box to quickly locate a specific repair order, vehicle make, or service title.
  • Status Filter: Use the status dropdown (e.g., Open Jobs, In Progress, On Hold) to focus only on jobs in a particular stage.
  • Job Card Summary Each card displays an at-a-glance snapshot: • Job Title & Current Status Badge (e.g., Pending, In Progress, On Hold) • Repair Order Number (e.g., RO #100105) • Service Summary: A preview of the customer's stated issue or requested scope. • Vehicle Identification: Year, Make, Model, and License Plate. • Customer Name: Provided for basic vehicle drop-off identification.

  1. Updating Job Status Select the Job status dropdown at the top of the card to update the service stage (e.g., changing from Pending to In Progress when pulling the vehicle into the bay, or setting it to Complete upon finishing). This keeps service advisors updated instantly without bay-to-counter walk-ups.
  1. Vehicle Information & Past History • View the vehicle year, make, model, and license plate. • Tap Vehicle History to pull up past repair orders and maintenance completed at your shop for that specific vehicle, providing quick reference for prior diagnoses or warranty checks. • Note: Vehicle details and customer profile fields are read-only.
  1. Tracking Labor Time • Live Job Timer: Tap the blue Start Timer button when work begins. The button changes to Stop Timer, tracking total accumulated minutes directly to the job. • Manual Time Entry: If logging time retroactively, enter the Start Date/Time and End Date/Time, then click Add Manual Time to record the labor segment.
  1. Reviewing Job Items (Parts, Labor, Fees & Sublets) Technicians can view the components required to complete the repair in the Job Items section: • Parts: Lists assigned part names, part numbers, and quantities (pricing and cost are hidden). • Labor: Outlines the labor operation description and billed hours. • Other / Fees & Sublets: Details any shop supplies or third-party sublet items associated with the repair. • Note: All items are display-only to prevent unauthorized job modifications.
  1. Adding Notes & Photos • Tap + Add Note at the bottom of the window to post technician findings, measurements (e.g., brake pad thickness, tire tread depths), or recommendations. • Upload job photos directly from your device camera or gallery to document existing vehicle damage, worn components, or completed installations.

Technician Verification Checklist

• Log in on your mobile or shop device and tap My Jobs in the navigation menu. • Verify that assigned jobs appear on your dashboard. • Tap your active job, click Start Timer, and update the status to In Progress before turning wrenches. • Verify required parts against the read-only Job Items list. • Add completion notes or attach photos using + Add Note, stop the timer, and switch the status to Completed or the next designated shop stage.
