Managing Service Locations & Mobile Dispatch

Learn how to use Bay Boss to track different service locations

Bay Boss allows you to record, manage, and dispatch to specific physical job sites directly from a Repair Order (RO). This is built specifically for mobile mechanics, commercial fleet accounts, and offsite services where the work occurs somewhere other than the customer's billing address.

1. Adding a Saved Location to a Customer Profile

Save recurring distribution depots, corporate fleet yards, or frequent customer work sites to prevent repetitive data entry.

1. Open any Repair Order and click the Customer Card (or navigate to the customer record). 2. In the Customer Details slide-out drawer, select the Locations tab. 3. Click + Add Location. 4. Enter the location details: ◦ Location Name / Identifier: (e.g., Main Street Warehouse #1234, Airport North Depot) ◦ Street Address, City, State, and Zip ◦ Site Notes: Access instructions, gate codes, or parking details (e.g., "Park beside the fuel tanks in the back of the lot"). 5. Click Save Location.

2. Linking a Location to a Repair Order

Connecting a location snaps a permanent record of the service site onto the active ticket for invoicing and dispatch.

  1. Open the target Repair Order and click into the Customer Details drawer $\rightarrow$ Locations tab.
  1. Locate the target site from the list and click Link to RO.
  1. Once linked: ◦ The location card displays a red "Currently Linked to RO" indicator. ◦ A red location pin icon appears in the top header of the Repair Order. ◦ The complete physical address and site instructions are snapshotted onto the RO for permanent historical accuracy.

3. One-Click Mobile Turn-by-Turn Navigation

For technicians operating in the field on phones or tablets:

  • Click or tap the red location pin icon in the RO header.
  • Bay Boss automatically opens Google Maps with the destination address pre-loaded, providing immediate turn-by-turn driving directions to the exact job site.

4. Invoice & Work Order Output

  • Automated Invoice Layout: When a service location is linked, printed ROs and PDF invoices automatically include a dedicated "Service Location" section showing the site name and physical address alongside standard billing details.
  • Standard Garages / In-Shop Work: If no location is linked, the service location section is suppressed entirely, leaving a clean standard retail invoice layout with zero blank space.

5. Unlinking or Changing a Location

  1. Open the Customer Details drawer $\rightarrow$ Locations tab on the active ticket.
  1. Locate the currently active site and click Remove Link.
  1. The location pin disappears from the header, the snapshot fields are cleared, and the RO returns to standard in-shop status. To switch sites, click Link to RO on any other location.
