Digital Vehicle Inspections (DVI) in Bay Boss let you build custom inspection templates your technicians can run from a work order, then share results internally or with customers.
What is an Inspection Template?

An inspection template is a reusable checklist that can include:
- Sections and items (anything from tires to fluids to lights)
- Detailed criteria for what to check
- Ratings (for example: OK, Monitor, Needs Attention)
- Technician notes
- Photos to document findings
Common examples include:
- Check-in inspection
- Post-service inspection
Create a new Inspection Template

- Open Inspection Templates in Bay Boss from the Templates menu item.
- Select New template.
- Name the template so it is easy to find later (for example: Check-in Inspection).
- Add sections to organize the inspection (for example: Exterior, Brakes, Fluids).
- Add inspection items inside each section.
- Include clear criteria so technicians know exactly what “OK” vs “Needs Attention” looks like.
- Choose the rating options you want available.
- Enable notes and photos where documentation is helpful.
- Save the template.
Use AI Assist to automatically create pre-populated checklists. You can use these to create full templates and then modify as needed by adding or removing items.
Edit an existing template

- Open Inspection Templates.
- Select the template you want to change and click on the Edit icon.
- Update any of the following:
- Template name
- Sections and inspection items
- Item criteria
- Rating options
- Whether notes or photos are allowed
- Save your changes.
Use a template on a Work Order

- Open the work order.
- Click on the Inspections tab at the top of the page.
- Start the inspection and select the appropriate template. Click “Add Inspection” and your inspection will appear in the “Current inspections for this Work Order” section above.
- To view or fill out the inspection, click on it.
- Complete ratings, notes, and photos as you go.
- Share results:
- Internally with your team
- Externally with customers (when appropriate)
Tip: Keep criteria short and specific. Templates that are easy to follow lead to more consistent inspections and better customer-facing reports.
