How do I set up Notifications in Bay Boss

Learn how to set up and use Notifications for your shop.

Bay Boss offers a robust communication platform to status updates and direct peer-to-peer notifications with your users in the Shop. Once set up, status updates on Job Assigments, Job completions, Part Quotes received, email or SMS replies and calendar cancellations can be viewed in the Notification Center. This ensure you never miss another important update from your Customers or Technicians.

How do you set up your Bay Boss instance to use Notifications?

There are two main types of notifications within Bay Boss:

  • Status updates shared with subscribers to specific groups
  • Individual notifications sent from one Shop user to another Shop User

The process for enabling these notifications is simple.

Status Update Notifications:

To enable status update notifications for any user, go to the Settings page and then click on the Users tab. Each userโ€™s notification preferences can be set individually. To subscribe them to receive status notifications, there are 5 options. Each option controls which type of notification that user will see.

  • Appointment Cancellation - When appointments are cancelled by the customer using an SMS reply, a notification is sent from the system to anyone subscribed to this notification type.
  • Assignment - When a Bay Boss user has been assigned to a job inside a Work Order, a notification is sent to the user who has been assigned.
  • PartsTech Quotes - When a new PartsTech quote has been added to a Work Order, a notification is sent to anyone with this notification type.
  • Work Order Communications - When a customer replies (via email or SMS) to any communication sent from a Work Order, a notification is sent to anyone subscribed to this notification type.
  • Work Order Status - When a job has been marked complete, a notification will be sent to anyone with this notification type.

Select the notifications for each user that you want them to receive.

Internal Message Notifications:

The last type of Notification is internal messages. These are direct person to person messages. Only users who have the Internal Messages notification type enabled will be able to see or send these notifications.

Selecting the Internal Messages notification type on a user will add their name to the list of users a Internal Message can be sent to.
