Overview
Bay Boss features a direct integration with QuickBooks Online (QBO) designed to automate front-counter accounting. With a single click, Bay Boss:
- Searches QuickBooks for the customer and provisions a new customer profile if one does not exist.
- Generates an itemized invoice that categorizes income across Parts, Labor, Sublet, Fees, and Sales Tax.
- Applies and links the customer's payment automatically, zeroing out Accounts Receivable and marking the invoice Paid.
Prerequisites
Before syncing your first invoice, make sure your shop is connected:
- Navigate to Settings /Integrations/QuickBooks Online.
- Ensure your connection status displays Connected (OAuth authorization active).
- Note: Only closed or finalized invoices can be pushed to QuickBooks.
Step-by-Step: How to Send an Invoice to QuickBooks
Step 1: Open the Invoices Dashboard
- Go to the Invoices page from the primary navigation bar.
- Locate the repair order you want to send.
- Look at the action column on the far right of the table row.

Step 2: Open the Pre-Sync Review Window
Click the Send to QuickBooks icon. A confirmation window will appear displaying a pre-flight breakdown of the repair order:
- Customer Name: The account linked to the ticket.
- Parts Amount: Total billable parts (excluding deferred items).
- Labor Amount: Total billable labor hours/services.
- Fee Amount: Environmental, shop supplies, and miscellaneous fees.
- Sublet Amount: Third-party vendor services (towing, machining, glass, etc.).
- Tax Amount: State and municipal sales tax calculated by Bay Boss.

Step 3: Confirm and Push
- Review the category totals.
- Click the blue Send to QuickBooks button.
- Bay Boss runs the sync in the background:
- Customer Match: It searches your QuickBooks database by customer name and email. If matched, it links the invoice to that profile. If the customer is new, it creates a new record in QuickBooks instantly.
- Invoice Creation: It pushes an itemized ledger entry with individual line items for Parts, Labor, Sublet, Fees, and Tax.
- Payment Reconciliation: If the invoice is marked as Paid in Bay Boss, the integration automatically posts a matching payment linked directly to that invoice's transaction ID.
Step 4: Verify the Sync State
Once the sync completes:
- The Send to QuickBooks icon changes to a greyed-out synced badge with a checkmark. • The action is locked to prevent accidental double-posting or duplicate ledger entries. • The delete option is hidden for that invoice to preserve accounting audit trails.
What It Looks Like in QuickBooks Online When you or your bookkeeper open QuickBooks Online, the transaction appears immediately under Sales / Invoices and in the customer's transaction ledger:

1. Invoice Line-Item Breakdown The invoice does not dump a generic lump sum. It breaks down into discrete lines: • Parts: Mapped to your parts sales income. • Labor Services: Mapped to your labor revenue. • Sublet Services: Mapped to sublet income. • Shop Fees & Supplies: Mapped to fee income. • Sales Tax: Recorded as an explicit line item reflecting your exact municipal and state calculations.
2. Zero-Dollar Open Balance Because Bay Boss links the payment transaction directly to the invoice ID: • The invoice status displays Paid. • The payment status displays Closed. • The open balance is $0.00. • Zero unapplied credits: No manual reconciliation or payment-matching is required by your bookkeeper.
Frequently Asked Questions (FAQ)
Do I need to create the customer in QuickBooks first? No. Bay Boss checks your QuickBooks customer list automatically. If the customer already exists (matched by name or email), the invoice is assigned to them. If it is a new customer, Bay Boss creates the customer profile in QuickBooks on the fly.
What happens if work was deferred on the repair order? Deferred jobs are excluded from the sync. Only approved, billable parts, labor, fees, and sublets are sent to QuickBooks, ensuring your books only reflect work actually authorized and billed.
What if an invoice is unpaid (Net 30 / Fleet Account)? If an invoice is not marked "Paid" in Bay Boss, the sync will create the itemized invoice in QuickBooks but will not generate a payment record. The invoice will remain open in QuickBooks Accounts Receivable until payment is received.
