Customizing Your Calendar

Learn how to adjust the calendar in Bay Boss for your Shop

Your shop calendar can be set up to match how your shop works. Open Settings > Calendar to change the options below. Each setting is saved for your whole shop, so everyone on your team sees the same calendar.

Display Options

Default view This sets how the calendar looks when someone opens it. Choose one:

  • Day: hour-by-hour schedule for a single day. Best for busy shops with many appointments.
  • Week: the full week at a glance. This is the standard setting.
  • Month: a month overview to see how busy the weeks ahead are.
  • List: a simple list of the week's appointments in order [confirm this label on your screen].

Users can still switch views from the calendar at any time. This setting only decides which view opens first.

Start time and End time These set the hours shown on the calendar in Day and Week views.

  • Start time ranges from 12:00 AM to 11:00 PM. The standard is 5:30 AM.
  • End time ranges from 1:00 AM to 12:00 AM (end of day). The standard is 12:00 AM.

Set these to your shop's actual working hours. A shorter window makes each time slot larger and easier to read, and it removes the scrolling through overnight hours. Appointments outside the window still exist. They just aren't displayed until you widen the hours.

Hide weekends Turn this on to remove Saturday and Sunday from the calendar. This is useful for shops that are closed on weekends, because the weekdays get more room. Turn it off at any time to bring weekends back.

Show customer name on events When this is checked, each appointment on the calendar shows the customer's name. Turn it off if you want a cleaner look or want less customer information visible on the calendar.

Labels for Your Events

Appointment Types Create your own appointment types, such as "Oil Change" or "Diagnostics". Use Add Appointment Type to add one, and use the list to rename or reorder them. Each type has a name and a color. The types appear when you schedule a new appointment.

Customer Types Create labels that describe the customer's situation, such as "Waiting" or "Drop-off". Use Add Customer Type to add one and arrange them in the order you want. Customer types appear on the new appointment screen too.

Google Calendar Integration

Pull events from your Google Calendar into your shop calendar. They are shown read-only, so you can see them but not edit them from here. To connect:

  • Open Google Calendar on a desktop browser.
  • In the left sidebar, hover over your shop's calendar, click the three dots, and choose Settings and sharing.
  • Under Access permissions for events, make sure the calendar is viewable, or share it with the service address.
  • Scroll to Integrate calendar and copy the Calendar ID. For a main calendar this is usually the shop's Gmail or Google Workspace address.
  • Paste the Calendar ID into Settings > Calendar.

Using the Calendar on Phones and Tablets

The calendar now fits phone and tablet screens. On a phone it uses the full width of the screen, and on a tablet it fills the screen height. On smaller screens it opens in Day view, because that is easier to read. Your chosen start time, end time and hidden weekends still apply on every device.

Tips

  • Changes save as soon as you make them. Refresh the calendar page to see them.
  • Match the start and end times to your hours of operation to get the most readable calendar.
  • Keep your appointment and customer type lists short, so scheduling stays quick.
